Organizing Links with Workspaces

Workspaces in StackBloom URL Shortener act like folders for your links, grouped by client, project, or team. Keep links isolated, invite the right collaborators, and give each workspace its own default domain for perfectly organized link management.

Step 1: Create a new workspace for each project or client

Click the workspace switcher at the top of the URL Shortener sidebar and select New Workspace. Give it a descriptive name — such as the client name or campaign — and optionally add a description and color label for visual distinction in the switcher.

  • You can create unlimited workspaces on Pro and Business plans
  • Each workspace has its own links list, analytics, and settings
  • The default workspace is your personal workspace — rename it to suit your needs
  • Workspace names are visible only to you and your invited team members

Step 2: Assign links to workspaces when creating them

When creating a new short link, select the target workspace from the Workspace dropdown in the link creation form. Links created while you have a specific workspace active are automatically assigned to that workspace by default.

  • Links can be moved between workspaces at any time from the link detail page
  • Bulk move is available from the dashboard list — select multiple links and choose Move
  • Moving a link does not change its short URL or break any existing clicks
  • Analytics history is preserved when links are moved between workspaces

Step 3: Filter the dashboard by workspace

Use the workspace switcher in the sidebar to switch context and see only the links belonging to a specific workspace. The dashboard, analytics summary, and export functions all automatically scope to the active workspace.

  • Switch workspaces instantly without logging out or opening a new tab
  • The total click count in the sidebar reflects the active workspace only
  • Use "All Workspaces" view to see every link across your entire account
  • Pin your most-used workspaces to the top of the switcher for faster navigation

Step 4: Invite team members to specific workspaces

Go to Workspace Settings > Members and click Invite. Enter the team member's email and choose their role. Invited members only see the workspaces they've been added to — other clients' workspaces remain private.

  • Owner — full control including billing and member management
  • Member — can create, edit, and delete links; cannot change workspace settings
  • Invited members get an email notification and can accept immediately
  • Remove a member at any time without affecting their links or analytics data

Step 5: Set a workspace-level default domain

In Workspace Settings > Domains, choose which custom domain new links in this workspace use by default. For client workspaces, set their branded domain here so every link created in that workspace is automatically on their domain.

  • The workspace default domain overrides your account-level default for that workspace
  • You can still choose a different domain for individual links when creating them
  • Domains must be verified at the account level before they can be set as workspace defaults
  • Changing the default domain does not retroactively update existing links in the workspace

💡 Tip: Create separate workspaces per client to easily export their link data. When you need to hand off a report or migrate a client to their own account, scoping all their links to one workspace means a single CSV export contains exactly their data — nothing more, nothing less.
