Tracking Proposal Views and Responses
StackBloom Proposals gives you real-time insight into how clients engage with your proposals. Know the exact moment a client opens your proposal, which sections they spend the most time on, and when it's the perfect time to follow up.
Step 1: Open any sent proposal to see its status
From the Proposals dashboard, click on any proposal that has been sent. The proposal detail page shows the current status at a glance with a colored badge.
- Sent — the proposal has been delivered but not yet opened
- Viewed — the client has opened the proposal at least once
- Accepted — the client has clicked Accept or signed the proposal
- Declined — the client has clicked Decline and optionally left a reason
- The status is updated in real time as the client interacts with the proposal
Step 2: View the engagement timeline
Click the Activity tab on the proposal detail page to see a full engagement timeline. Each event is timestamped, giving you a clear picture of the client's decision-making process.
- View timestamps for every open, revisit, and section scroll event
- See total time spent on the proposal across all viewing sessions
- Multiple revisits often signal the client is seriously considering the proposal
- If comments are enabled, client questions appear in the timeline as well
Step 3: Get email notifications on key events
StackBloom Proposals sends you real-time email notifications when important events occur on your sent proposals. Configure which events trigger notifications in your account notification settings.
- First view — notified the first time a client opens the proposal
- Accepted — instant notification when a client accepts
- Declined — alert with any reason the client provided
- Comment posted — when a client leaves a question on the proposal
- Push notifications are available in the StackBloom mobile app
Step 4: Follow up with clients directly from the proposal
When you're ready to follow up, click Send Follow-up from the proposal detail page. This sends a personalized reminder email to the client without you needing to leave StackBloom or copy and paste the proposal link.
- Follow-up emails include the original proposal link so the client can pick up where they left off
- Customize the follow-up message or use a saved template
- Follow-up events are logged in the activity timeline for your reference
- Set automatic follow-up reminders on a schedule (e.g., after 3 days if not viewed)
Step 5: Export activity reports
For a team overview of proposal performance, navigate to Reports in the Proposals sidebar. Export activity data as a CSV or PDF to share with your team or review in a spreadsheet.
- Reports include total proposals sent, viewed, accepted, and declined by date range
- Average time-to-view and time-to-close metrics help you benchmark performance
- Filter by team member, template, or client to analyze specific segments
- Proposal win rate is calculated automatically based on accepted vs. total sent
💡 Tip: Section-level analytics show which parts of your proposal clients spend the most time on. If clients consistently spend a long time on the pricing table but then decline, it may be a sign to revisit your pricing. If they spend most time on testimonials, lean into social proof in future proposals.
