Sending and Presenting Proposals

Once your proposal is ready, StackBloom Proposals makes delivery seamless. Send it directly by email with a personal message, set notification preferences, and monitor delivery status — all from the same dashboard.

Step 1: Open your finalized proposal

From the Proposals dashboard, open the proposal you want to send. Confirm it is in Finalized status — you will not be able to edit the content after sending. If you need to make changes, click Edit first, then re-finalize.

  • Draft proposals must be finalized before they can be sent
  • Finalizing locks the content but does not send the proposal yet
  • You can un-finalize and re-edit if the proposal has not yet been sent

Step 2: Click Send and enter client email addresses

Click the Send Proposal button to open the send dialog. Enter the email address or addresses of the people who should receive the proposal. The client information you added during creation is pre-filled but can be modified here.

  • Add multiple recipients by separating email addresses with a comma
  • All recipients receive the same proposal link and can view it simultaneously
  • Add your own email as a CC to keep a copy in your inbox
  • Sent proposals are tracked individually per recipient email address

Step 3: Add a personal message

In the send dialog, write a short personal message in the email body field. This message appears in the delivery email alongside the proposal link. A warm, personalized message significantly improves open rates.

  • Default messages can be saved in Settings so you don't retype them each time
  • Use the client's first name in the message for a personal touch
  • Mention the key value from the proposal to create curiosity before they open it
  • The subject line is pre-filled with "Proposal from [Your Company]" and can be customized

Step 4: Choose send options

Before clicking Send, configure the send options to control how the proposal is delivered and how clients can respond.

  • Notify when viewed — get an email or push notification the moment the client opens the proposal
  • Require e-signature — clients must sign before the proposal is marked as accepted
  • Expiry date — the proposal link becomes inactive after a chosen date
  • Comments enabled — allow clients to leave questions directly on the proposal
  • Schedule send — deliver the proposal at a specific date and time

Step 5: Monitor email delivery status

After sending, the proposal status updates to Sent in your dashboard. Open the proposal and click the Activity tab to monitor delivery status in real time.

  • Delivered — the email was successfully received by the client's mail server
  • Opened — the client has clicked the link and viewed the proposal
  • Bounced — the email was rejected; check the address and resend
  • Use the Resend button to re-deliver to any recipient who hasn't opened it

💡 Tip: Send a preview link to yourself first to check how the proposal looks from the client's perspective. Open the Preview options in the editor and select "Send preview to email" — you'll receive the exact same email your client will see, including the link to the interactive proposal viewer.
