Setting Up the Patient Portal
The HealthBloom patient portal gives your patients a secure, self-service experience. They can view their records, manage appointments, and communicate with your practice — all without needing to call your office.
Step 1: Enable the Patient Portal
Navigate to Settings > Patient Portal and toggle the portal on. Once enabled, a unique portal URL is generated for your practice.
- Your portal URL will be:
healthbloom.io/portal/your-practice-slug - Set a custom slug in Settings to match your practice name
- The portal is private — only invited patients can log in
Step 2: Customize Portal Branding
Make the portal look and feel like your practice. In Settings > Patient Portal > Branding, configure the visual elements patients will see.
- Upload your practice logo (shown in the portal header)
- Set a primary color to match your brand
- Add a welcome message displayed on the portal login page
- Include your practice's contact information and address
Step 3: Invite Patients to the Portal
Send portal invitations to patients individually or in bulk. Open a patient's profile and click Invite to Portal, or use Patients > Bulk Actions > Send Portal Invites.
- Patients receive an email with a secure signup link
- The link expires after 72 hours for security — resend if needed
- Patients create their own password during first login
- Resend invitations from the patient profile if the email wasn't received
Step 4: Patients View Appointments and Records
Once logged in, patients can access their own information. Control exactly what each patient can see in Settings > Patient Portal > Permissions.
- View upcoming and past appointments
- Access invoices and make online payments
- Download documents you've shared with them
- View their medical records (if you enable this option)
Step 5: Patients Request Appointments
Enable self-scheduling so patients can request or book appointments directly from the portal. Go to Settings > Patient Portal > Booking to configure this feature.
- Choose between Request (requires your approval) or Instant Book (auto-confirms)
- Control which services are available for patient self-booking
- Set minimum advance booking time (e.g., book at least 24 hours ahead)
- Receive email notifications when patients submit appointment requests
💡 Tip: Share your portal URL on your website and in appointment confirmation emails so patients can easily find it. Adding a "Manage My Appointment" button to your email templates saves your front desk significant time.
