Managing Appointments in HealthBloom

HealthBloom's appointment system helps medical practices schedule, track, and manage patient visits efficiently. This guide walks you through creating and managing appointments from start to finish.

Step 1: Navigate to Appointments

From your HealthBloom dashboard, click Appointments in the left sidebar. You'll see the appointments calendar view with all upcoming visits.

  • Switch between Day, Week, and Month calendar views
  • Use the filter to show appointments by provider or service
  • Color-coded status indicators help you spot confirmed, pending, and completed visits at a glance

Step 2: Create a New Appointment

Click New Appointment (or click directly on a time slot in the calendar) to open the appointment form. Fill in all required details:

  • Patient: Search for an existing patient or add a new one on the spot
  • Service: Select the service type from your configured services list
  • Provider: Assign the appointment to a specific practitioner
  • Date & Time: Pick from available slots based on provider availability
  • Notes: Add any relevant visit notes or pre-appointment instructions

Step 3: Set Appointment Status

Update the appointment status as it progresses through its lifecycle. Click on any appointment and use the Status dropdown to change it.

  • Scheduled: Initial state when appointment is booked
  • Confirmed: Patient has confirmed attendance
  • Completed: Visit has taken place
  • Cancelled: Appointment was cancelled by patient or provider
  • No Show: Patient did not attend without notice

Step 4: Send Appointment Reminders

Reduce no-shows by sending automated reminders. Navigate to Settings > Reminders to configure reminder rules, or send a manual reminder from any appointment detail page.

  • Set automated email reminders 24 or 48 hours before the appointment
  • Enable SMS reminders if Twilio is configured in your settings
  • Customize the reminder message template with patient and appointment details

Step 5: View Appointment History

Access a complete appointment history for any patient by opening their patient record. Click on a patient name from the Patients list, then select the Appointments tab.

  • See a chronological list of all past and upcoming visits
  • Filter by date range, service, or status
  • Export appointment history as a CSV or PDF report

💡 Tip: Use the recurring appointment feature to automatically schedule follow-up visits at set intervals — ideal for patients who need regular check-ins or ongoing treatment sessions.
