Managing Patients in HealthBloom

Patient management is central to HealthBloom. Store patient records, track visit history, and keep everything organized in one place.

Step 1: Add a New Patient

Go to Patients in the sidebar and click Add Patient. Fill in the patient's information across the registration form tabs.

  • Personal: Full name, date of birth, gender, contact details
  • Medical: Allergies, current medications, medical history notes
  • Insurance: Insurance provider, policy number, group number
  • Emergency Contact: Name, relationship, phone number

Step 2: Search and Filter Patients

Use the search bar at the top of the Patients list to quickly find any patient by name, email, or phone number. Advanced filters let you narrow results further.

  • Filter by registration date, last visit date, or assigned provider
  • Filter by patient status (Active, Archived)
  • Sort the list by name, last appointment, or date added

Step 3: Update Patient Records

Click on any patient to open their full profile. All fields are editable — click the Edit button in any section to update information and save changes.

  • Add clinical notes and visit summaries to the patient timeline
  • Upload and attach documents (referrals, test results, consent forms)
  • Track changes with the built-in audit log showing who edited what and when

Step 4: View Appointment History Per Patient

From a patient's profile, click the Appointments tab to see their complete visit history. Each entry shows the date, service, provider, status, and any notes.

  • Click any past appointment to view full visit details and notes
  • See upcoming scheduled appointments at the top of the list
  • Click Book New Appointment directly from the patient profile

Step 5: Archive or Deactivate Patients

For patients who are no longer active, archive their record rather than deleting it (to preserve all history). Open the patient profile and click Archive Patient from the Actions menu.

  • Archived patients are hidden from the main list but all records are preserved
  • Reactivate an archived patient at any time by searching and clicking Restore
  • Note: Patients cannot be permanently deleted if they have billing records

💡 Tip: Use the Import Patients feature (Settings > Data Import) to bulk-upload patient records from a CSV file when migrating from another practice management system.
