Adding Digital Signatures to PDFs

StackBloom PDF Suite includes a built-in signature tool that lets you sign any PDF in seconds. Draw your signature, type it in a handwriting font, or upload an image of your physical signature and place it exactly where you need it.

Step 1: Open a PDF and click the Signature tool

Open the PDF you want to sign in the PDF Suite editor. In the toolbar, click the Signature tool — it looks like a pen nib icon. The signature panel will open on the right side of the screen.

  • The Signature tool is available in all PDF Suite plans
  • Previously saved signatures are shown in the panel for quick reuse
  • You can create multiple signatures (e.g., full name vs. initials)

Step 2: Draw, type, or upload your signature

Choose how you want to create your signature. Each method creates a clean, professional result that can be saved and reused on future documents.

  • Draw — use your mouse, trackpad, or touchscreen to sign freehand
  • Type — enter your name and choose from handwriting-style fonts
  • Upload — import a PNG or SVG image of your physical signature
  • Use a stylus or touchscreen device for the most natural drawn signature result
  • The background is automatically removed from uploaded signature images

Step 3: Position and resize the signature on the document

Click Place Signature to attach it to your cursor. Click on the page where you want it to appear. Once placed, drag it to fine-tune the position and use the corner handles to resize it.

  • Hold Shift while resizing to maintain the aspect ratio
  • Use arrow keys for pixel-perfect positioning adjustments
  • Double-click the signature to replace it with a different one
  • Signatures can be placed on any page in the document

Step 4: Add date and initials fields if needed

Use the Date and Initials tools in the signature panel to add additional signing elements. The date field automatically inserts today's date in your preferred format.

  • Date format can be set in your account preferences (MM/DD/YYYY or DD/MM/YYYY)
  • The Initials tool creates a smaller version of your signature for initialing pages
  • Add text fields for name, title, or company using the Text tool alongside signatures
  • All fields can be repositioned and resized after placement

Step 5: Save the signed document

Once you're satisfied with the placement, click Save to flatten the signature into the PDF and create a new version. The signed document can then be downloaded or shared directly from the project.

  • Saving creates a new version — the unsigned original is preserved in version history
  • Download the signed PDF to share via email or upload to another system
  • The signature is embedded as a permanent part of the PDF — it cannot be removed by recipients

💡 Tip: For legally binding multi-party signatures where multiple people need to sign in sequence, use StackBloom E-Sign instead. PDF Suite signatures are ideal for single-signer scenarios, while E-Sign provides audit trails, signer authentication, and sequential workflows.
