Setting Up Auto-Responders in InboxBridge

Auto-responders let you automatically reply to incoming emails based on specific trigger conditions — saving your team time while ensuring every sender gets a timely acknowledgment or helpful response.

Step 1: Navigate to InboxBridge Dashboard

Go to your StackBloom dashboard and click InboxBridge in the navigation. If you haven't connected an email account yet, you'll be prompted to do so before creating auto-responders.

  • InboxBridge supports Gmail, Outlook, and any IMAP/SMTP email account
  • Connect your account under Settings > Email Accounts
  • Multiple email accounts can be connected and managed independently

Step 2: Create a New Auto-Responder

In the InboxBridge dashboard, navigate to Auto-Responders and click Create Auto-Responder. Give it a descriptive name so you can identify it in the list.

  • Select which email account this auto-responder applies to
  • Choose to respond once per sender or every time the trigger matches
  • Set an optional start and end date for time-limited responders (e.g., holiday OOO messages)

Step 3: Set Trigger Conditions

Define exactly which emails should trigger this auto-responder. Under Conditions, add one or more rules that all must match (AND logic) or any can match (OR logic).

  • Keywords: Subject or body contains specific words or phrases
  • Sender: From a specific email address or domain
  • Time: Received outside of business hours
  • Has Attachment: Trigger when an attachment is included

Step 4: Write the Response Template

Compose the auto-reply message in the Response section. Use the rich text editor to format your reply professionally.

  • Use merge variables like {{sender_name}}, {{subject}}, and {{date}} to personalize each response
  • Set a custom reply From Name and Reply-To address if different from the receiving account
  • You can also select a pre-built template from your Templates library

Step 5: Enable and Test the Responder

Toggle the auto-responder to Active and then test it using the built-in test tool. Click Send Test to send a simulated email that matches your trigger conditions.

  • Check the Logs tab to confirm the auto-responder fired correctly
  • Review the sent response email in your outbox to verify formatting
  • Adjust the conditions or template as needed and re-test

💡 Tip: Create an out-of-office auto-responder with a date range for holidays or vacations. Set the start and end dates in advance so it activates and deactivates automatically without any manual intervention.
