Managing Staff in TableBloom
TableBloom lets you build your team directly in the platform. Add staff members, assign appropriate roles, schedule shifts, and track how each person contributes to your daily reservation operations.
Step 1: Open Staff settings in TableBloom
From the TableBloom dashboard, click Settings in the left sidebar and select Staff. This page lists all current team members along with their roles, email addresses, and last login date.
- The account owner always has full Admin access
- Staff members receive an invitation email to set their own password
- Deactivated staff cannot log in but their historical data is preserved
Step 2: Add staff members with their details
Click Add Staff Member and enter their name, email address, phone number (optional for SMS alerts), and position title. An invitation email is sent automatically with a link to set up their account access.
- Staff accounts are free — add as many team members as needed
- The invitation link expires after 7 days; resend from the Staff list
- Staff can update their own profile photo and contact details after logging in
- Position titles are for display only and do not affect permissions
Step 3: Assign permissions by role
Select a role for each staff member when adding them or by editing their profile. TableBloom offers three permission levels to match your team structure.
- Admin — full access including settings, billing, and staff management
- Manager — can manage reservations, tables, services, and view reports; cannot change billing or add new staff
- Host — can create, update, and seat reservations; no access to settings or reports
- Roles can be changed at any time without affecting existing reservations
Step 4: Set staff schedules and shifts
Open a staff member's profile and click the Schedule tab to define their weekly working hours. Scheduled shifts determine when that staff member appears as available in the reservations timeline.
- Set different hours for each day of the week
- Add exceptions for holidays, vacations, or training days
- Schedules are visible to Managers and Admins in the staff overview
- Shift reminders can be sent via email or SMS if configured
Step 5: Track reservations handled per staff member
Navigate to Analytics > Staff Performance to see how many reservations each team member has handled, their no-show rate, and average time to seat guests. Use this data for performance reviews and shift planning.
- Filter by date range, service type, or individual staff member
- Compare performance across the team on a single chart
- Export to CSV for use in payroll or HR systems
- Reservation notes added by each host are attributed to their account
💡 Tip: Use the Manager role for floor supervisors who need report access. Managers can pull end-of-service summaries and modify reservations without the risk of accidentally changing billing settings or removing other staff accounts.
