Setting Up Signing Reminders

Automatically follow up with signers who have not completed a document. Set a reminder schedule once and let StackBloom E-Sign handle the follow-ups.

Automatic Reminder Schedule

Automatic reminders are sent via email on a schedule you define. A reminder is only sent if the signer has not yet completed the document — signed signers are never pestered with unnecessary emails.

Built-In Reminder Intervals

1 day after sendingA gentle nudge the day after the initial request
3 days after sendingFollow-up for documents that require more review

Reminders respect the document's signing deadline. If the deadline has passed, no further reminders are sent.

Custom Reminder Intervals

If the standard intervals do not suit your workflow, you can set custom reminder schedules. Custom intervals are configured per document or per template.

  1. When preparing a document to send (or when editing a template), scroll to the "Reminders" section
  2. Toggle "Custom Reminder Schedule" to ON
  3. Add reminder entries: specify the number of days after sending for each reminder
  4. You can add up to 5 custom reminder points
  5. Optionally customise the reminder email subject and message for each point

Example: Urgent Contract Schedule

Day 1 — Initial reminder
Day 2 — Second reminder
Day 4 — Final reminder before deadline

Manual Reminders

You can send a manual reminder to any signer at any time — regardless of the automatic reminder schedule.

  1. Go to the E-Sign dashboard and open the document
  2. In the "Signers" section, find the signer who has not yet completed the document
  3. Click the "Send Reminder" button next to their name
  4. Optionally add a personal message to the reminder email
  5. Click "Send"

Manual Reminder Cooldown

To avoid overwhelming signers, manual reminders have a 4-hour cooldown per signer. If you send a manual reminder and the signer still has not acted, wait at least 4 hours before sending another.

Escalation When Deadline Is Missed

When a document passes its signing deadline without all signers completing it, StackBloom can automatically notify you so you can take action.

  1. When setting up the document, enable "Notify me on expiry" in the deadline settings
  2. Enter the email address (or addresses) that should receive the expiry notification
  3. When the deadline passes, you receive an email showing which signers have not completed the document
  4. From the notification, you can extend the deadline, void the document, or contact the signers directly

Actions After Expiry

Extend deadline: Give signers more time without resending the document
Void document: Cancel the document entirely. Signers are notified the link is no longer valid.
Resend: Create a new signing request from scratch or from the original template

Configure your reminder schedule in your templates so you never have to set it up manually for each individual document you send.

Personalise Reminder Emails

Custom reminder messages that include the signer's name and reference the document type have significantly higher completion rates than generic follow-up emails.

Use Shorter Deadlines for Urgency

Setting a 3 or 5 day deadline instead of 30 days creates urgency and increases completion speed. Signers can still request an extension if needed.

Monitor the Document Status Page

The document detail page shows a real-time status for each signer (Pending, Viewed, Completed). Use this to decide when a manual reminder is appropriate.
